How can I add more items to my PO?

To add more items to your POs:

  1. Go to the Purchase tab / POs subtab to view a list of your POs.
  2. Search for the PO you want to edit by using the Search bar, or by filtering by PO Status or Order Status.
  3. Click on the PO you want to edit, to open the PO Details view. Once there, click on the Edit ✏ button.
  4. Make changes to your PO once you’re in editing mode in the PO Generator screen.
  5. Under the Items section, locate the +Add Items button to the right side of the screen and click on it.
  6. Select the items from the list by using the search and filters by clicking on the checkbox to their left. Click Next.
  7. You'll be back to the PO Generator screen. Once done with your edits, click the Save button. For more information about the Save options, please check our article on POs Revision vs Overwriting POs.

Please note that you can also mix and match adding items from different requests to the same PO, as long as those items meet the requirements outlined further below.

Important considerations when adding items to POs:

  1. If your user does not have the ‘Generate POs without Requests’ permission, you can only add items to existing POs under the following conditions:
    1. Approval Requirement: Only previously approved items can be added to POs.
    2. Vendor Requirement: Items must belong to the same vendor, or have no specific vendor assigned. Items assigned to different vendors cannot be mixed.
    3. Items do not belong already to another PO: If the items already belong to another PO, please proceed to release the items from those POs first (by either removing the items from the other POs, or canceling or deleting the items from those POs). 
  2. Alternatively, if a user has the ‘Generate POs without Requests’ permission, you can add items directly in the PO Generator, even if the item has not been created yet nor approved.
