How can I upload Bills?

There are multiple ways to upload Bills to ControlHub:

  1. Manual Upload in the Bills tab.
    1. Head over to the Pay tab / Bills subtab.
    2. Click on the 'Add Bill' orange button.
  2. Sending an Invoice attachment via email to your company's 'Invoice Inbox'.
    1. If your company already setup an 'Invoice Inbox', any emails sent to that inbox will get automatically converted to Bills (even if they only include text). ControlHub will also extract all the attachments from the email and convert PDFs and Images (in JPG and PNG format) to separate Bills.
    2. To setup your company's 'Invoice Inbox', head over to ControlHub's Company Settings (gear icon on the top right of your screen) and then to the Advanced Settings subtab. There, you can find the 'Invoice Inbox' settings in the Bills section of the screen.
  3. Uploading it directly on the PO Details view.
    1. You can also upload a Bill related to a specific PO, directly in the PO Details view. Just find your PO, open it's details, and click on the 'Add Invoice' button.
  4. Uploading it directly on the Request Details view.
    1. You can also upload a Bill related to a specific Request, directly in the Request Details view. Plesae note that the Requet will need to have a PO generated for it. Just find your Request, open it's details, and click on the 'Add Invoice' button.
  5. Receiving it automatically via CheckOut.
    1. If the integration with your CheckOut Vendor included a Bills setup during implementation, the Vendor will automatically transmit Bills to you via the integration.

Once the Bills is uploaded to ControlHub, it will have a 'Under Construction' status, and display as such in the Bills tab. Your accounting team can then review the Bill for accuracy and submit it for approval (more info on this process here).
